Utilizing Email Management Functionality

This reference guide provides details and instructions on accessing the Email Management menu for Administrators. This feature allows ADMIN users to access, edit, and manage SecureLink Email Templates.

Administering Email Management

Requirements: Users must first be granted access to this privilege by their Administrator. The privilege can be granted under “Edit Fee Manager”.

Administering Email Management

  • From the main menu, navigate to the SecureLink Emails tab and click on ADMIN menu and select the “Email Management” link.
  • The sub-menu of the Email Management menu will display two options: SecureLink Emails and Notification Emails.

Creating an Email Link

SecureLink Emails

The SecureLink Emails feature allows the administrator to create and manage email templates, allowing Loan Center Users an easy and effective way to communicate with customers.

Clicking on the SecureLink Emails link will activate the following dropdown menu:

  • Order: Display the ordered number of the SecureLink Templates
  • SecureLink Template: Display fields for managing SecureLink Templates
  • Status: Display status of Active or Inactive

 Utilizing the SecureLink Email Template Function

When clicking on the “SecureLink Template” link the following form fields will be displayed:

  • Template Type – A dropdown read-only list of Template Names stored in the system.
  • Template Name – Provides the Template Name to be displayed in the email. (The User can modify this field).
  • Subject Line – Displays the Subject Line that will be displayed in the email. (The User can modify this field).
  • Body of Text – Displays the message body of the email. (The User can modify this field). See “Accessing the Email Body of Text” below.
  • Hyperlink – Displays the name of the hyperlink (entire link) displayed in the body of text. (The User can modify this field by clicking on the Hyperlink Text button at the bottom of the template).
  • Signature Line – Displays the name of the User sending the email. The User Name will be utilized. (The User will not have the ability to modify this field).

Accessing the Email Body of Text

  • The Function Bar will appear above the body of text allowing the User to edit the text in the body of the message.
  • The Body of Text offers the ability to utilize system variables (i.e. BorrowerName, Signature, etc.).


Signature Line Information

The following User information will be generated on the Signature Line within the body of the text:

  • Full Name
  • Branch Name
  • Job Title
  • NMLS #
  • Phone Number
  • Email Address

SecureLink Template Editing

A User with Administrator privileges can create and edit Templates.

Editing an Existing Template

To edit existing templates within the SecureLink menu, follow these steps:

  1. Open the Loan Center and click on the “ADMIN” Menu
  2. Select the Email Management Link and then click on the SecureLink Emails link
  3. Choose the template you wish to edit by clicking on the row
  4. Ensure the template status is set to “Active
  5. Make desired edits to the template (i.e. Subject Line, Body of Text, etc.)
  6. Click on the “Save” button once changes are complete


Saving the Template

After making the necessary changes to the Email Template, the User can save changes by clicking on the “Save” button at the bottom right of the menu. Clicking the “Cancel” button will disregard any changes you have made.


Setting the Template Status to Active or Inactive

Under the Status menu on the Email Template form, you can choose to make the template Active or Inactive. Click on the drop down arrow to the right of the window to make your selection. Don’t forget to click “Save” to save your changes.

Verify a Template is Active

You can verify the changes you have made have been saved in the system by following these steps:

  1. Verify the Template Status is set to “Active
  2. Create new loan application in Loan Center
  3. Click the LOAN mega menu and navigate to the SecureLink email page
  4. Click on the dropdown menu to choose the template name you want to verify.
  5. Verify that the edits made to the template are displayed in the SeureLink email
  6. Return to the Email Management page and change the template back to its original state

Using the Ad Hoc Template

You have the ability within the system to create and use an Ad Hoc Template.

You can edit and verify the use of an Ad Hoc Template by following these steps:

  1. Create a new loan application in Loan Center
  2. Click the LOAN mega menu and navigate to the SecureLink email page
  3. Verify the Ad Hoc Template is displayed and enabled
  4. Select the Ad Hoc Template
  5. Verify the Cc and From fields display the correct User name
  6. Enter a Subject
  7. Verify the body of the email displays the “Click Here” hyperlink and the signature line of the User
  8. Enter a custom message into the body of the text
  9. Click the “Send” button
  10. Verify the template email is sent and correctly displayed all information entered into the template
