Overview
Release 6.1.1000 includes the following changes to email management:
- the email notifications user interface has been updated to make it easier to understand each email template and to identify who should receive each kind of notification. Notifications now contain a short description of the template's purpose and a brief explanation of what circumstances trigger the sending of the email notification
- "To" and "CC" checkboxes have also been added to email notification templates, which can be used to configure which users should receive the corresponding notification
- a new email template called "eVOA: Asset Expiration Reminder Email for the Loan Officer" has been added to the Notification Emails tab in the Email Management menu. This email template is used to remind a loan officer when a borrower's electronically-verified assets are about to expire.
- a new configuration called "eVOA Send Expiration Reminder Email" allows Admin users to determine when the eVOA expiration reminder email should be sent to loan officers.
- a new email template for "Appraisal Status Updates" and enhancements to Data Tags have also been added.

Email Notifications - Descriptions & Triggers
Each email notification template now includes a brief Description of the template below the template name. This description will remain when the template is expanded.
A new Triggers section now also appears below the Description when the template is expanded. This section describes the circumstances under which the notification will be sent.

"To" & "CC" Checkboxes
Email notification templates now contain a series of "To" and "CC" checkboxes that can be used to determine which users the corresponding notification should be sent to.
The available user checkboxes vary by template, depending on the type of notification. The available user roles are
- LO
- LOA
- LP
- Original LO
- Original LOA
- Original LP
Selecting a user checkbox under the "To" section will add that user as a recipient to the corresponding email notification when the email trigger occurs. Selecting a user checkbox under the "CC" section will include that users as a CC recipient on the email notification.

Configuration - Send eVOA Expiration Reminder Email
The new eVOA expiration reminder email template can be configured to determine how many days before expiration the email should be sent. This configuration is located in environment configurations in iMP System Admin
Locate the configuration called "Send eVOA Expiration Reminder Email" and enter the desired number of days that the reminder email should be sent before an electronically verified asset expires.

Data Tags
Clicking the Data Tags button opens a modal window that allows users to insert dynamic tags into their email templates that will populate individual notifications with the corresponding information.
The first column displays the name of the data tag, while the second column includes a description of the data tag and what information it will pull into the email.
Use the blue copy icon that appears to the right of each data tag to copy an individual tag. Paste the tag into an email template and that information will appear when an email is generated.
New Email Template - Appraisal Status Updates
When activated, this new email notification template automatically sends notifications to selected loan team members whenever the appraisal status for a loan is updated.
This template uses data tags to populate the email with the following pieces of information:
- Borrower First Name
- Borrower Last Name
- Loan Number
- Updated Appraisal Status
- Hyperlink to oPOS - Appraisal Center

Email Template - eVOA: Asset Expiration Reminder Email for the Loan Officer
When set to 'Active,' this new email notification template will send a reminder to the loan officer X number of days before a borrower's electronically verified asset expires.

Acceptance Criteria
Use Case #1: Description and Triggers
Prerequisites:
- Test user has Admin privileges
Testing Process:
- Log in to oPOS
- Navigate: Admin > Email Management
- VERIFY: each email notification template has a description that appears below the template name when the template is collapsed.
- Expand each template
- VERIFY: the description remains below the template name
- VERIFY: the Triggers section appears below the description
Prerequisites:
- Test user has Admin privileges
Testing Process:
- Log in to oPOS
- Navigate: Admin > Email Management
- VERIFY: the following email notification templates contain "To" and "CC" checkboxes for LO, LOAs, LPs, Original LO, Original LPs and Original LOAs:
- LO Re-Assignment: Notification to New LO
- LO Re-Assignment: Notification to Previous LO
- VERIFY: the following email notification templates contain "To" and "CC" checkboxes for LO, Original LO, Original LPs, and Original LOAs
- LO Re-Assignment: LO Changed in LOS
- VERIFY: all remaining email notification templates contain a "CC" checkbox for LO, LOA, LP, Original LO, Original LP, and Original LOA
- VERIFY: the following email notification templates contain a "To" checkbox to the Borrower only:
- cPOS: Application Submitted - Notification to Borrower
- LO Re-Assignment: Notification to Borrower
- cPOS: Welcome Email for Borrower
- cPOS: Welcome Email for Co-Borrower
- Additional Applicant Invite Email
- VERIFY: the following email notification templates do not have any "To" checkboxes:
- cPOS: Password Reset
- oPOS: Password Reset
- cPOS: MFA Code
- VERIFY: the remaining email notification templates contain "To" checkboxes for LO, LOA, and LP
- Send User Notification emails to all recipients prechecked in Steps 3-7
- VERIFY: emails are successfully sent to correct recipients
- Select additional checkboxes that were not already pre-selected for each email template referred to in steps 3-7
- Send User Notification emails again
- VERIFY: emails are sent to all selected recipients successfully
- For every User Notification email, Check all checkboxes in the "To" field and VERIFY the same checkbox (if displayed) in the "CC" field are visible but disabled.
- For every User Notification email, Check all checkboxes in the "CC" field and VERIFY the same checkbox in the "To" field are visible but disabled.
- For each email notification from steps 3-7, unselect all "To" checkboxes and select at least one "CC" recipient
- Attempt to trigger each of these emails to be sent
- VERIFY: emails are not sent (due to no "To" recipient)
Use Case #3: eVOA Expiration Configuration and Email Template
- Log in to iMP System Admin
- Navigate: Configurations > Configuration - Environment
- VERIFY: configuration "eVOA Send Expiration Reminder Email" appears in the configuration list
- Set the value of this configuration to '3' or another test value
- Log in to oPOS and navigate to Email Management
- Trigger "eVOA: Asset Expiration Reminder Email for the Loan Officer"
- VERIFY: email notification is sent
- VERIFY: email sent to LO contains day amount entered in step #4
- Test user has access to Email Management in oPOS (Configuration - "Edit Email Notification")
Testing Process:
- Log in to oPOS
- Navigate: Admin > Email Management
- Open the Notification Emails tab
- Click the View Tags button
- VERIFY: modal window appears with the following columns:
- Name
- Description
- VERIFY: the "Name" column has data tags used in emails listed in an ascending order
- VERIFY: the "Description" column contains relevant descriptions of each data tag
- VERIFY: modal window appears with the following columns:
- Click on the "Copy" icon from the first row and paste it into a text editor
- VERIFY: data tag is pasted correctly
- Repeat step #5 for each data tag
- Click in the search box on the top-right
- VERIFY: the following occurs:
- Disabled "Up" and "Down" arrow icons are displayed within the search box.
- An enabled "X" icon is placed within the search box next to the down arrow.
- A Pipe character "|" will be added before Up Arrow.
- VERIFY: the following occurs:
- Click on the X icon
- VERIFY: the search box closes
- Enter an alphabetical character in the search box
- VERIFY: all strings of text in the window that match the entered character are highlighted. first is highlighted in yellow
- VERIFY: counter appears as (1/x) where x equals the number of instances of the entered character
- Click the Up arrow icon
- VERIFY: the numerator in the counter increases by 1 and yellow highlight is moved to the next instance
- Click the Down arrow icon
- VERIFY: counter returns to 1 and highlighter returns to first instance
- Click on the X icon within the Search Box
- VERIFY: the search box is closed
- VERIFY: highlight disappears
- Click on the X icon in the data tags window

Testing: Appraisal Status Notification
Use Case #1: Appraisal Order Workflow/Notification
Prerequisites:
- Test Loan Officer has role “Appraisal Ordering”
- Email Notification “Appraisal: Appraisal Status Update” is set to Active and LO checkbox selected
Testing Process:
- Log in to oPOS
- Create a new purchase loan
- Set up borrower as an online borrower by adding their email address
- Complete loan application
- Shop for rates and apply a loan product
- Create initial disclosures
- Send “Send Initial Disclosures” SecureLink to borrower
- Log out of oPOS
- Check borrower’s email inbox and open SecureLink sent in step #6
- Register for cPOS as borrower and log in
- VERIFY: borrower is directed to “Your Tasks” page
- VERIFY: “Order Appraisal” task appears on the “Your Tasks” page
- Click Begin on the “Order Appraisal” task
- VERIFY: “Order Appraisal - Review Order” page appears
- Click Next
- VERIFY: “Order Appraisal - Contact Information” page appears
- VERIFY: borrower’s contact information is pre-populated in the contact fields
- VERIFY: Preferred Date is a required field
- Enter a date in the Preferred Date field
- Enter text in the Special Instructions field
- Click Next
- VERIFY: “Order Appraisal - Payment Information” page appears
